Executive Assistant

As the Chicago Executive Assistant, you’ll be the heart of our office—ensuring everything runs smoothly, from daily operations to special events. You’ll collaborate with teams and leadership, manage key administrative tasks, and help create a welcoming, connected environment for all staff. This role is ideal for someone who is highly organized, outgoing, and thrives on building relationships and fostering a positive office culture. You will:
- Handle a wide range of administrative support tasks, including booking travel, submitting expense reports, coordinating meetings, and placing catering orders.
- Serve as the main point of contact for the office, collaborating across teams and with leadership to ensure smooth execution of internal functions and global projects.
- Plan and execute off-site events and staff gatherings, such as all-staff monthly meetings (organizing presentations, coordinating updates, managing setup/AV, and handling logistics).
- Coordinate and order full staff lunches and catering for meetings and special events.
- Welcome new hires on their first day, ensuring they feel supported and oriented.
- Communicate office updates and important information clearly and promptly to all staff.
- Maintain confidentiality and professionalism in all interactions with office leads, the Talent Team, and employees.
You have:
- 2–3 years of professional experience in an administrative, office management, or executive support role.
- Confidence as the voice and face of the office, especially during meetings and events.
- You enjoy fostering dialogue, making connections and introductions across the team, and are naturally social and outgoing.
- High proficiency in MS Office and presentation software, such as Keynote or PowerPoint.
- Superior written and verbal communication skills, with excellent word processing abilities.
- Impeccable attention to detail, ownership of tasks, and a record of seeing assignments through to completion.
- Ability to multi-task, prioritize effectively, and meet tight deadlines—even under pressure.
- A customer service–focused attitude, and a flexible, adaptable approach to changing needs.
